Our client services team will respond within one business day to gather initial information and guide you through the intake process. For urgent matters, please call directly rather than using email.

We strive to respond to all inquiries within one business day. Phone calls during business hours are typically answered immediately. Email inquiries and contact form submissions are reviewed throughout the day and responded to in the order received. For urgent matters requiring immediate attention, please call our main number and inform the receptionist of the urgency.

Yes, we offer telehealth services for certain therapy types and situations. To inquire about virtual consultations, please contact our client services department at (800) 123-4567 ext. 100 or email clientservices@pediatrictherapy.com. Our team will assess whether telehealth is appropriate for your child’s needs and guide you through the process of setting up a virtual appointment.

To schedule, reschedule, or cancel an appointment, please call our scheduling team at (800) 123-4567 ext. 100. We request at least 24 hours’ notice for cancellations whenever possible. You can also email scheduling requests to clientservices@pediatrictherapy.com, but please note that appointments are not considered confirmed until you receive a confirmation from our team.

For billing or insurance questions, please contact our Billing & Insurance department directly at (800) 123-4567 ext. 105 or email billing@pediatrictherapy.com. Our billing specialists can assist with insurance verification, explanation of benefits, payment plans, and any other financial concerns. Please have your account information or recent statement available when you call.

You can share your experience by completing our satisfaction survey after appointments, emailing feedback@pediatrictherapy.com, or speaking directly with our client services manager. For concerns that require immediate attention, please ask to speak with a department director or the practice manager. Your input helps us continuously improve our services.

When making initial contact, please include your child’s name, age, primary concerns or reason for seeking services, any previous evaluations or diagnoses, your contact information, and preferred contact method. If you’re inquiring about a specific service (speech therapy, occupational therapy, etc.), please mention this as well. The more information you provide, the better we can direct your inquiry.

To request copies of your child’s records, please complete our Records Release Form, available on our website or at our office. Submit the completed form to records@pediatrictherapy.com or in person at our office. Please allow 5-7 business days for processing. For urgent records requests, please call our client services team and explain the situation.
